Practice Management: Activate Cloud Timesheets

Add a new user in Cloud Timesheet. Transfer a Desktop Timesheet user to the Cloud Timesheet. Move from Desktop Timesheets to Cloud Timesheets.

To use Cloud timesheets, you must have Cloud Services activated in your Practice. If your Practice is already using Workflow + or Contact +, then the Cloud Services is already activated.

Complete the following steps to activate Cloud Timesheets:

  1. Go to APS applications list, select the Fee Earner Console.

  2. Select the Fee Earner.

  3. View Details page.

  4. Update the following fields:

Note: If the email address has been previously used in any Fee earner accounts, please make sure the email has been removed or edited from the earner account that has been terminated.

Login details

A password/ login email will automatically send to the email entered in the Fee Earners console. You may need to check junk / spam. If did not receive any notification email for Cloud Timesheets, as you already use Workflow+, use these steps:

  1. Ask your System Administrator to resend the invite via the User Management+.

  2. Select Forgot your password and reset. Ensure there are at least 6 Characters, including:

  • Number

  • Special Character

  • Uppercase letter

  • Lowercase letter

Create Weekly Headers

The following steps need to be completed by an administrator to allow a Cloud Timesheet user to enter any entry in Cloud Timesheets for the specific week:

  1. Open Timesheet Administration.

  2. Right click on the week, click new.

Note: If the Weekly Header was already created and users have already posted entries in Desktop Timesheets before enabling Cloud Timesheets, then users must use Desktop Timesheets for that week.

Rights for viewing others Cloud Timesheets

The following steps need to be completed by an administrator.

  1. Go to the APS Applications list, System Administration consoles, JOE Admin.

  2. From the left pane, select the user's name.

  3. Click View, from the drop down menu select JOE Rights.

  4. Scroll to locate Timesheets, double click to open.

  5. Tick the checkbox for Launching Timesheets Allowed.
