Background
New Users to Accountants Online who wish to access the Access APS suite of products require the following configuration steps to occur when they first log in. This can only be done with the Users and not in advance by our APS Tech team, as it requires their Office 365 Login and password.
Preparation
Check the steps in the article: Access APS Online: Create a New User has been completed and the new user has been created by our APS support team.
Check that the firm-wide password used for the Integration Credentials is saved somewhere that is easy to access (if needed).
Allow 5-7 minutes (per User) for the entire process to be completed.
Configuration Process
Have the User login to their Access APS Online through the given URL, you may see messages similar to the below on the first login:
Select the Username in the top right corner (see below).
Click on Settings.
Locate Integration Credentials on the left.
If nothing has been set up, click New OR otherwise, select/Tick On the User’s Name and click Edit in the top left.
This will open the Credentials Properties, a screen like below:
IF there is no data in the Username and Password fields:
Enter Username – the user's Office 365 email address.
Enter the Password and confirm the password.
Note: This is not the User's Office 365 password. The password is the same one firm-wide and should be known by the Access APS Online Champion. Please check with your APS Support Consultant if you are unsure what to enter here.
IF there is data already in the Username and Password fields, please overtype the Password field to ensure it is correct, then continue on to the next steps:
Tick the boxes under Use Credentials For as appropriate for the user.
Then select Done at the top left of the screen to save.
Return to Access APS Online by selecting the Personal button from across the top of the screen.
Activating the APS Products
Select the PM tile to open APS Practice Management.
The user profile is now being configured in the Access APS Online Environment.
This may take a couple of minutes.
If the user has a One Drive Mapper screen pop-up, please enter the User’s personal office login, and then allow it to close out.
When it has stopped (and is showing a black screen), close the Central tab, and return to the Access APS Online home screen.
Select the Username, in the top right and Sign out of Access APS Online.
Have the User sign back into the Access APS Online as usual.
Select the PM tile again to open Access APS Practice Management.
Now wait. This can take 3 to 4 minutes and just displays a black screen, please wait.
You will know it has completed everything when you receive an error message as follows:
Close the error message and close the Central tab. Return to the Access APS Online home screen.
Open the PM tile again.
The user should now see the PM log-in screen or if this step has been set to automatically login based on their User profile, they will see the PM Advance Application Screen.
This completes the setup for this User.
