To setup a new user for NZ Tax web lodgement, follow the steps below.
Step 1 - Set up the Fee Earner Console
The below fields must be completed for users to access NZ Tax web lodgements:
Open Fee Earner Console and select the new user from the drop-down list.
Ensure the Email Address field is populated correctly.
In the field Web-linked tax agent, select each of the tax agencies that the user will be required to work on.
Change the field Cloud Enabled to Yes.
After enabling the cloud option and saving the details, the user will receive an APS Cloud setup email containing a temporary password. They must open this email and complete the steps to create their own password.
⚠️Important: Please ensure that each user who is going to use NZ Tax web lodgements has their own login account, and they’re not using the cloud “system” login.
Step 2 - Set up the JOE Admin permissions
Assign the appropriate JOE Admin permissions for the user:
Open JOE Admin console, select View, JOE Rights.
Select the new user from the drop down in the top right (or if using Profile Groups, select the appropriate group that the user is assigned to)
Add the appropriate permissions for the user in the below sections.
📌Notes:
By default, the Agent Details and TDS Info rights are enabled, this is to ensure that existing users who have been actively using Web GST and AIM returns lodgement are still able to do so and are able to check their Agent’s TDS setup status.
TDS linking will have been already setup for your practice now and this would typically be done by a user with Admin access. Granting access to the TDS Link option will allow that user to link or de-link the Tax Agent’s TDS integration with IRD.
⚠️Important: After making any changes in JOE Admin for the user, ensure the user closes all APS desktop applications and exits right out of APS. When they log back into APS, the JOE Admin changes will take effect.
Step 3 - Open via Tax Agent Console
The first time the new user accesses Web Lodgements, it must be via Tax Agent Console, Web View, Agent Web View button:
New user opens Tax Agent Console.
Ensure the Tax Agent is correctly populated in the field Tax Agent at the top of the screen.
⚠️Important: Web View options will not work correctly for the user if the above field is not populated. If the field shows None Selected, then type * and press the Enter key.This will drop down a list of Tax Agent for you to select from.
Once populated, click the Agent Web View button.
Step 4 - Open Web Lodgements
Once the Agent Web View button is clicked, the Access APS web screen will open and the user will need to complete with their APS Cloud credentials.
Next, in the top right corner, click on the MyIR button to complete the MyIR login credentials.
The above button will show in green when successfully logged into MyIR. The new user should now be able to view and work in Web Lodgments.
📌Note: Where more than one Tax Agent is assigned (via Fee Earner Console, Web-linked Tax Agent), the user can change the Tax Agent context from a drop-down list in the User popup which is accessed at the top right:
