XPA: Generic Import of transactions into XPA

Access APS XPA allows Generic Importing of transactions into XPA

You can bulk transfer journal, data entries into an XPA ledger.
You can also import transactions from another application into XPA.

Follow the below:

  1. Ensure the data is set up as suggested below.

Note: The code needs to be xxx or xxx/xxx.

The Description should not contain numbers or special characters.

Note: Once the setup of the generic import is complete, delete the column headings e.g., rows 1 to 3.

  1. Save as type file as .CSV.

  1. Open Windows Explorer and rename the .CSV file to be a .TXT file

If the file extensions are not displayed, leave the file in CSV format.

You can select the type of import file on the import window.

  1. Use the .TXT / .CSV file to import the transactions into the Chart Mapping Toolbox.

  1. Click Import.

  2. Select Import type as Generic.

  3. Browse for the exported file saved as .txt

  4. Tick options available that apply:

  • Use Imported Tax Amount

    • Selected: this will import the tax amount in the .txt file

    • Not selected: will bring through no GST amount unless Apply Account Tax Rates ticked.

  • Apply Account Tax Rates

    • Selected: This will apply the GST rate in the new ledger to calculate GST on the gross amount imported.

  1. Select date range

  2. Click Import.

  3. A message indicating no mapping was selected will be displayed. Click OK to continue, the .txt file already contains the correct accounts to import and no mapping is necessary.

  1. A confirmation message will advise how many transactions were imported.

Note: Any entries imported for Depreciation and Provision for Depreciation will go through the Asset Suspense account (account 998 for NZ users; account 970 for Australian users). Assets should then be setup in the asset ledger and then synchronised.

If you import transactions into the new ledger where codes do not exist, you are given the option to have the code set up or skip the transaction.

If you select to have the code setup, it will create the code with the description 'Transactional Import' if it can not find the code on the ledger Master Template. You will have to reset the code expected signs, and code type eg revenue, expense, asset, liability or equity. If the code exists on the ledger Master Template, the code will be setup from the Master Template.
