There are currently two methods that will extract the return alias data into the SQL database. This extracted data is a key element for Access Evo and Access Co-pilot, streamlining and improving workflows.
Method 1. Saving the return
After installing APS Tax 2025.1.0 or later, any Saves made to returns from that point in time will automatically create a record of that return with all the aliases into the SQL database. If the data table does not exist, it will generate the document structure ready for analysis.
Method 2. Bulk Data Extraction
If you wish to select a particular years returns or extract all the returns in bulk for Evo, the following instructions will guide you through that process.
Open the Tax Services console (remember to open Tax Manager first).
Select Extract under the Data Extraction section.
Click on the Extract drop down button and a list of available years for extraction will be shown in the menu ribbon.
By selecting a particular year, Tax Services will only extract that years returns. When All returns are selected, Tax Services will access all the 2020 and later APS Tax income returns and extract the ATO Alias fields from the tax form blobs into a table in the database. If the data table does not exist, it will generate the document structure ready for analysis.
Note: For databases with a substantial number of returns in the product, we suggest extracting year by year and to also run the process after hours while staff are out of the system.
During the process, a progress bar will show which returns are currently being extracted.
Once a successful extraction has completed, the following report will display providing a list of clients that have been successfully extracted.
Refreshing Extracted DataThe raw data can be found in the “tm.apsadejsons” table in the SQL Server. This is the data that is now used for Access EVO and co-pilot.
Any returns that are saved after the installation of APS Tax or later will automatically be updated to this new ADE table at all times with the last saved instanceData Loader and Provisioning
To use Access APS Evo, you need to connect your APS Tax desktop data to the Access Data Engine. In order to connect your SQL data so you can start using Access Evo, a Data Loader is required to be installed on the system. You will need your system administrator or IT professional to assist.
