Practice Management: Unable to connect to database due to ‘Database Connection’ message appearing clicking the APS shortcut

To resolve the problem, you will need to first troubleshoot the ODBC connection and if the problem is not resolved, test the Database Connection string described below:


1. ODBC Connection

Check the ODBC connection as follows:

Type Win-S and search for ODBC.

Select ODBC Data Sources


Select Set up ODBC data sources (32-bit).

The ODBC Data Source Administrator screen appears.

Select the System DSN tab and click on aps_dsql database name.

Select the System DSN tab


Hit the Configure button.

Hit the Next button.

Ensure both ANSI boxes are not ticked.

Ensure both ANSI checkboxes are unticked

Hit the Finish button.

Run the Test Data Source.

Ensure the TESTS COMPLETED SUCCESSFULLY and click OK.

Tested completed successfully message in the Data Source Test window


Hit OK to the ODBC Data Source Administrator screen.

Note: If any of the above steps did not complete successfully check with your System Administrator to rectify the problem.

If/When all tests are complete successfully check if you can log on to APS application successfully.

If the problem persists, check the Configuration File Setup

2. Configuration File Setup

From the Adv2000 folder, locate the aADBConf.exe file and double left click.

Check there is a connection string available on the Enter database connection string field.

If the connection string is missing, copy and paste the string from a working PC.

Click the Save button and select the Yes option on the screen below.

Click Yest to overwrite the existing file


Hit OK on the Save screen.

Click OK to save the configuration file


Hit the Close button on the Advance database Configuration File Setup screen.

Test whether you can open Advance Central Login and log in.

3. aaDBConf Utility Options - tick-boxes

Further to point 2 above, open aaDBConf.exe in the C:\ADV2000 folder and ensure that Enable Encryption is ticked, and that Enable quick server locator is un-ticked.

4. Check that the SQL Service is set up correctly

Click on Start, Administrative Tools, Services.

Then in the Services window, look for SQL Server.

Check that the Log On As setting on the right is Local System, not Network Service.

If it is set to Network Service, then right click on the service and go into Properties.
Then in the Log On tab, tick the radio button for Local System account.

If there is already an ODBC connection in place, try deleting it and create a new one.
