Practice Management: Restore and edit your invoice templates

Steps to keep your custom invoice layouts after an update and edit your templates.

You can keep your custom invoice, receipt, and statement layouts after an update, and edit your invoice templates to suit your business in Access APS Practice Management.

Restore your custom files after an update

Updating to a new version, such as v11.4, can replace your standard invoice, receipt, and statement files with default versions. Follow these steps to keep your custom layouts.

  1. Back up your customised files before you upgrade.

  2. Restore your custom files after the upgrade:

    • For invoices, copy your customised apinvoice.dll file back into the application directory (commonly the ADV2000 folder).

    • For receipts, copy your customised advrec.dll file back into the application directory.

    • For statements, copy your customised statement layout files (*.rpx) back into the application directory.

📌Note: If your custom files were stored outside the default application directory, they may not have been overwritten during the update. However, it's still recommended to keep backups before upgrading.

Edit your invoice templates in Report Designer

Use the Report Designer tool included with Access APS Practice Management to change your invoice templates, such as removing a word.

  1. Open the Report Designer tool from the application directory.

  2. Browse to the layout file of the invoice template you want to edit.

  3. Select the word or element you wish to remove.

  4. Delete the selected word or element.

  5. Save the updated template.

Best practices for file management and backup

Follow these habits to protect your customised files and keep your templates up to date.

  • Always create backups of your customised files before performing software updates.

  • Store backups in a secure location outside the default application directory to prevent accidental overwrites.

  • Regularly review and update your templates to ensure they meet your business needs.

Following these steps and best practices helps you manage and customise your invoice templates effectively.
